The City of Urbana, Ohio is seeking applicants for the full-time position of Administrative Assistant in the Engineering Division, under the direction of the City Engineer. Performs regular clerical and administrative work, receiving the public, providing customer assistance. Establishes and maintains filing systems, and indexes using moderate independent judgment. Receives and distributes incoming mail. Prepares and processes outgoing mail; Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons. Manages the web-based Zoning & Compliance Violation processes, including, but not limited to preparing Notice of Violation and follow up letters, coordinating inspections, preparing affidavits and records database. Schedules Board/Commission meetings & appointments, and performs other administrative and clerical duties. Prepares, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy & completeness; i.e. Zoning, Nuisance and Engineering notices & Commission correspondence.
The qualifications for this position include the following: Graduation from a high school or GED equivalent with specialized course work in general office practices such as word processing, filing, basic bookkeeping, and Two (2) years of increasingly responsible related experience, or any equivalent combination of related education and experience. Working knowledge of computer operating systems and electronic data processing; working knowledge of modern office practices and procedures; basic knowledge of accounting principles and bookkeeping practices Ability to learn and operate web-based software. Skill in operation of standard office equipment. Ability to perform cashier duties accurately; ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations
