The City of Urbana, Ohio is seeking applicants for the full-time position of Executive Assistant with an annual salary range from $26,823 to $45,580 in the Law Department, under the direction of the Law Director. The Executive Assistant performs regular clerical and administrative work; including aiding victims with Petitions for Civil Protection Orders, filed in the Champaign County Common Pleas Court; establishes and maintains filing systems, and indexes information by entering case notes; receives and distributes incoming mail. Prepares and processes outgoing mail; receives the public and answers questions; responds to inquiries from employees, citizens, attorneys, and Municipal Court staff and refers, when necessary, to appropriate persons. Receives victims; advises them of their rights; provides details of the judicial process, including possible upcoming trial dates and required attendance; offers appropriate contact information for shelters and outreach counselors (if necessary); convey victim information to the Court, including possible damages caused by the Defendant; supply Court with any out-of-pocket expenses caused to victim, coordinate and help prepare estimates for which the State requests for restitution. Manages high-level, sensitive and confidential reports through Drop Box, Trello and various other software tools; assists attorneys in the preparation of cases for arraignments, pre-trials, motion hearings and trials, including (but not limited to) documents, records, and evidence while verifying factual information. Assists in the procurement & maintains adequate levels of department office supplies and materials; schedules meetings & appointments; keeping staff calendars current and accurate. Prepares documents, exhibits and evidence for presentations; edits a variety of correspondence, reports, memoranda, and documents; fact-checking material requiring judgment as to content, accuracy & completeness. Assists in planning and developing communication fliers/brochures; assists other divisions with special projects and initiatives.
The qualifications for this position include the following:
Graduation from a high school or GED equivalent with specialized course work in general office practices such as word processing, filing, and basic bookkeeping.
Two (2) years of increasingly responsible experience in the legal profession, or any equivalent combination of related education and experience.
Valid State driver's license or ability to obtain one.
Working knowledge of computer operating systems and electronic data processing; working knowledge of modern office practices and procedures; basic knowledge of accounting principles and bookkeeping practices.
Ability to learn and operate web-based software.
Ability to effectively meet and deal with the public; ability to communicate professionally and effectively both verbally and in writing; ability to handle stressful situations.
