​The City of Urbana, Ohio is seeking applicants for the full-time position of Administrative Assistant in the Engineering Division, under the direction of the City Engineer. Performs regular clerical and administrative work, receiving the public, providing customer assistance. Establishes and maintains filing systems, and indexes using moderate independent judgment. Receives and distributes incoming mail. Prepares and processes outgoing mail; Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons. Manages the web-based Zoning & Compliance Violation processes, including, but not limited to preparing Notice of Violation and follow up letters, coordinating inspections, preparing affidavits and records database. Schedules Board/Commission meetings & appointments, and performs other administrative and clerical duties. Prepares, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy & completeness; i.e. Zoning, Nuisance and Engineering notices & Commission correspondence.

The qualifications for this position include the following:
 Graduation from a high school or GED equivalent with specialized course work in general office practices such as word processing, filing, basic bookkeeping, and
 Two (2) years of increasingly responsible related experience, or any equivalent combination of related education and experience.
 Working knowledge of computer operating systems and electronic data processing; working knowledge of modern office practices and procedures; basic knowledge of accounting principles and bookkeeping practices
 Ability to learn and operate web-based software.
 Skill in operation of standard office equipment.
 Ability to perform cashier duties accurately; ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations

Job Description
Position Title: Administrative Assistant
Reports to: CEP Economic Development Director
FLSA Status: Exempt
Position Hours: Part Time – 30-35 hrs/wk (flexible)
Benefits: No benefits

Position Summary: Performs a variety of routine and complex clerical, secretarial and administrative work in keeping official records, providing administrative support and secretarial service to the Economic Development Director and CEP board. Assist in the administration of the standard operating policies and procedures of the agency.

Supervision: The administrative assistant is under the direct supervision of the Economic Development Director.

Essential Duties and Responsibilities:
• Maintain and update the database(s) of buildings and properties in UrbanaChampaign County, to be utilized for all leads from JobsOhio or other site selectors. Maintain documentation on all leads that come to the CEP.
• Prepare documents and correspondence regarding CEP matters, as directed by the Director. Prepare and organize CEP files as needed according to projects, subjects and companies. • Assists in preparation and distribution of the Annual Report and Quarterly newsletters.
• Assist in maintaining and updating the organization’s website.
• Assist in maintaining organization’s social media marketing (facebook/twitter)
​• Assist in preparing meeting agendas and related materials for Executive Committee and Board of Directors meetings
• Perform yearly invoicing of partnership investment requests. Handle acknowledgment and follow-up, as needed.
• Assist with coordination of other subcommittees such as the Manufacturers and HR group.
• Assist the director with scheduling of CEO/facility, local/regional/state representatives and site selectors visits.
• Answer telephones, direct calls and take messages. Take and respond to inquiries regarding the CEP. Inform and update the Director of any issues that may need further attention or follow up.
• Required to keep confidentiality regarding all CEP matters, when requested.
• Responsible for maintaining office supplies and equipment.
• Responsible for maintaining checking account, office payments, collection of receipts, invoices, payroll and contributions for bookkeeping purposes as approved by the Director.
• Assists the Director with budget preparations. • Promote a positive working relationship with any other partnership.
• Attend meetings as needed
• Perform other duties as may be required to accomplish the goals and mission of the CEP Knowledge, skill & experience:
• Minimum of Five (5) years experience in customer service and office management
• Graduation from high school or GED equivalent
• Proficiency in Microsoft Windows based environment, Microsoft Word, Microsoft Excel, Quickbooks and Internet data gathering and research.
• Ability to read, analyze and interpret most complex documents.
• Ability to respond effectively to the most sensitive inquiries or complaints.
• Ability to organize and streamline office environment.
• Ability to communicate effectively verbally and in writing.
• Ability to maintain a flexible schedule.

Handles the admission process for all incoming residents.
A. Prepares pre-admission and admitting forms, facilitates room transfers, prepares admitting reports to departments.
B. In collaboration with Business Offices explains financial requirements to the residents or responsible party and collects deposits or deductibles according to department policy.
C. Maintains resident database regarding transfers, move ins/outs, deaths etc within 48 hours as per department policies.
D. Maintains necessary census reports.

Reviews admissions to ensure accurate financial and biographical data and documentation have been obtained and entered in the facility records according to department policy and state and federal regulations.
A. Obtains initial authorization and documents for admission to facility.
B. Manages process of re-certification/authorization as required by insurance/Medicare.

Responds accurately to questions from prospective resident about marketing information demonstrating concern and customer service-oriented behavior as evidenced by random observation and resident feedback. Maintain up to date knowledge regarding Insurance/Medicare/Medicaid regulations in order to assure proper billing and maximum revenue potential is achieved in accordance with governing regulations as evidenced by random supervisory review.
Maintains/exceeds facility census and team goals as outlined in budget.

Full Time
40 hrs a week
8:00am-4:30pm


Minimum Years and Type of Experience:
1 year admissions in healthcare setting
Other Knowledge, Skills and Abilities Required:
Current ICD coding training
Other Knowledge, Skills and Abilities Preferred:
Experience in handling medical records and patient work flow

Position Information
Title: CITY CARRIER ASSISTANT (CCA)
FLSA Designation: Non-Exempt

Non-Scheduled Days: VARIES
Hours: VARIES
CCAs may be required to work any day of the week, including weekends and holidays as scheduled.
CCAs hold temporary appointments for periods not-to-exceed 360 days. Subsequent appointments after a 5 day break in
service may be offered but are not guaranteed and should not be expected because the use of CCAs is discretionary and
subject to business needs.
DRIVING REQUIRED:
Applicants must have a valid state driver’s license, a safe driving record, and at least two years of
unsupervised experience driving passenger cars or larger. The driving must have taken place in the U.S. or its possessions
or territories or in U.S. military installations worldwide.
BENEFIT INFORMATION:
Non-career 360-day term with possibility of reappointment. May lead to career position. Benefits include paid leave at the rate of 1 hr for every 20 hrs in pay status, holiday pay for 6 holidays, and pay raises per NALC National Agreement. Immediately eligible for USPSHB Plan with a $125 Postal premium contribution towards Self Only. Employer contribution towards greater than Self Only is 65% (75% for subsequent appointments). Upon reappointment to a second 360-day term after a 5-day break in service eligible for: health insurance under FEHB; dental and vision insurance through FEDVIP; flexible spending accounts through FSAFEDS and long-term care insurance through FLTCIP. Wounded Warrior leave available if eligibility criteria are met.
